Inventory Report

What it does

The Inventory Report (Reports → Inventory Report) shows the state and movement of your stock in money terms, split by product category: what is on the shelf and what it is worth, what you bought, what was used or wasted, and what your stocktakes found. Use it to see which categories tie up your cash, where waste comes from, and whether the shelf matches the books. It reads straight from your Inventory records, so every figure is priced at what you actually paid for each delivery. See Reports Overview for the shared date range and Apply controls.

Getting started

  1. Open Reports → Inventory Report. (It is available to staff who can view Inventory or Reports, when Inventory is switched on for your venue.)
  2. Choose a date range and tap Apply.
  3. Pick a tab: Stock value, Purchases, Usage & waste or Stocktake variance.
  4. Narrow it down with the Category filter, or switch on 18+ only (shown when some category is marked adults only). These apply immediately — no need to tap Apply again.
  5. To save or share the tab you are looking at, tap Download PDF.

Tabs and parameters

Parameters: date range, category, and the 18+ switch. There is no granularity option — the figures are totals for the period.

  • Stock value — what is on the shelf right now and what it cost: total value, how many products are at or below their minimum, and the value expiring within 7 days (or already expired). Tables by category and by product, with on hand, minimum, value, expiring lots and how old the oldest lot is. This tab ignores the date range: it is a snapshot of right now, and says so.
  • Purchases — what deliveries in the period cost: spend, number of deliveries and suppliers. Tables by category, by supplier and by product (quantity, average price, price range, spend).
  • Usage & waste — what was consumed (sold through recipes or used by hand, after refunds) and what was written off, with the waste share. Tables by category, waste by reason, waste by staff member, and by product.
  • Stocktake variance — what completed counts in the period found: shortage, surplus and the net, with the number of counts. Tables by category and by product (short by, over by, values, counts).

Key things to know

  • Everything is priced at what deliveries actually cost, lot by lot — never an average. A shortage is valued at what the missing stock cost; a surplus at the product's most recent known cost.
  • Consumed cost matches the Cost Report. Refunds are netted out in the same way, so the two reports never disagree about what was used.
  • Stock value is "as of now". Changing the date range doesn't change it. Other tabs reload for the new period when you tap Apply.
  • A category shows as "No category" if it can't be named — for example on an older server that doesn't have categories yet.
  • A delivery containing goods from several categories is counted once in the delivery totals, however many categories it spans.
  • Total rows add up money only. Quantities are in each product's own unit (kilograms, litres, pieces), so they are not added together.
  • The PDF contains the tab you are on, with its chart if you choose to embed charts.

FAQ

Q: Why doesn't the Stock value tab change when I change the dates?
A: Because it shows what is on the shelf right now. Past stock levels aren't reconstructed here; use Purchases and Usage & waste to look at a period.

Q: How do I see only alcohol?
A: Choose the Alcoholic Beverages category in the filter, or switch on 18+ only to include every category marked adults only.

Q: Why do the numbers differ from the Cost Report?
A: They shouldn't for consumption — both net out refunds the same way. The Cost Report adds the sales side (revenue and margin by menu item); this report looks at the stock itself, by category.

Q: What does "Expiring soon" count?
A: Lots that expire within the next 7 days or already have, with their value.

Q: Where do the category names come from?
A: From Inventory → Configuration → Product categories. A standard category appears in each user's own language unless you renamed it.
