Issuing invoices
What it does
Issue a VAT invoice for a paid order in a few taps. The amounts are taken from the order exactly as it was paid — including any service charge or discount, split by VAT rate — so they can't be mistyped. You only say who the buyer is.
Getting started
- Start from one of three places:
- Invoice Manager → New invoice lists the paid orders that can still be invoiced. Search by order number, table or the NIP on the receipt, and choose the order.
- In order history, tap the receipt icon next to a paid order.
- In the payment dialog, switch on Issue an invoice after payment. The invoice form opens once the payment is through.
- Choose Company or Private person.
- For a company, choose its country and enter its tax ID (in Poland the NIP). For a company from another EU country, Check in VIES confirms the VAT registration and fills in the name and address if they are still empty.
- Fill in the name and address, and optionally an e-mail.
- Or pick the buyer from Saved clients — search by company, tax ID, name, phone or e-mail. To keep a new buyer for next time, tick Save this buyer to CRM (it needs an e-mail).
- Tap Issue. The invoice gets its number at once. Download or send it as described in Invoice PDF and e-mail.
Key things to know
- One invoice per order, and only for a fully paid order. Refunded orders, refund orders and orders from delivery platforms (Wolt, Glovo, Pyszne.pl) can't be invoiced here — they don't appear on New invoice. An order that already has an invoice offers to open it instead.
- The amounts can't be edited. The invoice shows exactly what was paid for the order, and it is refused if its lines wouldn't add up to that amount.
- VIES is advisory. VIES is often down for a country; the invoice can be issued whatever it answers.
- Dates. The issue date is today in your venue's time zone; the sale date is the day the order was paid.
- In Poland a few more rules apply — the NIP printed on the receipt, the invoice marked as issued for a receipt, and sending to KSeF. See KSeF e-invoicing.
- You need the Issue invoices permission (managers have it).
FAQ
Q: Can I invoice several orders on one invoice?
A: The screens issue one invoice per order. Orders paid in different months can never share an invoice.
Q: Why can't I find an order on New invoice?
A: It isn't fully paid, it was refunded, it came from a delivery platform, or it already has an invoice. Check the
dates and the search too.
Q: Does VIES have to confirm the buyer?
A: No. It's a check for you; a missing or negative answer doesn't stop the invoice.
Q: The customer gave the wrong details. Can I edit the invoice?
A: No. Issue a correction that reverses it — see Invoice corrections.
