Reports Overview

What it does

Reports lets managers look back at how the business has been performing — sales, kitchen speed, tables and reservations, staff activity, and what the menu costs to make and sell — over any date range. There are five report areas, each with its own tabs, charts, and detail tables, and every one but the Cost Report can be downloaded as a PDF to share or file away.

This page explains how reports work in general — the date filters, tabs, drill-down, and PDF export that most of them share. Each area has its own page with the full list of views and what every number means:

  • Orders Report — sales, revenue, best-sellers, payments, discounts.
  • KDS (Kitchen) Report — cooking times, cook performance, station throughput, bottlenecks.
  • TMS (Tables) Report — reservations, peak hours, table use, cancellations, service pipeline.
  • Staff Report — shifts, hours worked, cashier performance, payroll.
  • Cost Report — cost of sales, waste, and gross margin, by menu item and by product.

Getting started

  1. Open Reports from the menu and choose an area: Orders, KDS, TMS, Staff, or Cost.
  2. At the top, choose a date range — a quick preset (Today, Yesterday, Last 7 days, Last 30 days, This week, Last week, This month, Last month, This year, Last year) or custom From/To dates from the calendars.
  3. Tap Apply to load the data. The report stays empty until you apply a range, and changing the range clears the old numbers so you don't mistake them for current ones.
  4. Use the tabs along the top to switch between views — each tab is its own chart and table.
  5. Where available, set the granularity (Hourly, Daily, By Weekday, Monthly) to control how the timeline is bucketed.
  6. Tap a bar, point, or row to drill in for more detail — for example, tapping a day in a revenue chart opens that day's orders.
  7. To save or share, tap Download PDF, choose which sections to include, whether to embed the charts as images, and the page orientation, then confirm.

Shared parameters

Every report is driven by the same filter bar at the top:

  • Date range — the period the report covers, set by a preset or custom From/To dates. This is the one parameter every report needs.
  • Granularity — on time-based charts, whether points are grouped by hour, day, weekday, or month. Presets pick a sensible default (a single day → hourly; longer ranges → daily or monthly) so charts stay readable; you can override it.
  • Apply — nothing loads or refreshes until you tap Apply. It's not live — to see the latest, tap Apply again.
  • Extra filters — some reports add their own controls (for example a staff-member picker on the Staff report, or a Group by selector on several tabs). These are described on each report's page.

Key things to know

  • Reports cover finished activity for the selected range — they don't update live while you watch. Tap Apply again to refresh.
  • Choosing a shorter range (like today or yesterday) automatically shows hour-by-hour detail; longer ranges switch to daily or monthly so charts stay readable.
  • Drill-down goes several levels deep on some reports (notably the TMS service pipeline). A Back button appears above the chart at each level and takes you up one step at a time.
  • PDF export is optional per section — you choose which sections to include, portrait or landscape, and whether to embed chart images. Including charts makes the file larger but keeps the visuals, not just the numbers.
  • The Cost Report works a little differently from the other four. It shows a single total for the whole period rather than a chart over time, so there's no granularity option, and it doesn't offer PDF export yet — see Cost Report.
  • Only staff with permission to view reports can open this section, and if your venue has turned the Reports feature off entirely, it won't appear in the menu.

FAQ

Q: I picked a date range but the report looks empty — why?
A: You still need to tap Apply. Changing the range alone doesn't load new data — it just clears the old numbers so you know a refresh is needed.

Q: Do reports update live?
A: No. They show the range you applied. Tap Apply again to pull the latest data.

Q: What's the difference between the report areas?
A: Orders is about sales and money, KDS is about kitchen speed, TMS is about tables and reservations, Staff is about hours and cashier performance, and the Cost Report is about what your menu costs to make and sell. Open each area's help page for the full breakdown.

Q: I tapped into a chart and now I'm several screens deep — how do I get back?
A: Use the Back button that appears above the chart at each level. It takes you up one level at a time until you're back at the main view.

Q: Does exporting a PDF include the charts, or just the numbers?
A: By default it includes the detail tables. Turn on the "include charts" option in the export dialog if you also want the visual charts embedded as images.
