Tables & Reservations

What it does

This is where you set up your dining room and manage bookings. The floor plan editor lets you draw your rooms and arrange tables so they match your restaurant. The reservations view shows those tables on a live map (or a timeline) so front-of-house staff can see what's booked, seat walk-ins, and take new bookings for the day.

Getting started

  1. Open Tables → Editor to build your floor plan: add rooms (tabs at the top), then drag tables and decorations (walls, bar, plants…) onto the canvas.
  2. Resize a table by dragging its edges, or use the corner handle to resize it proportionally. Drag the rotate handle to angle it. Click Save Layout when you're happy with the room.
  3. Open Tables → Preview (or Reservations) to see the live floor plan for today. Use the icons at the top to switch between the Map, the Timeline, and — on a phone — Today's Reservations, and to zoom the timeline in or out.
  4. Click a table to open its actions: start a new order, seat or release a booking, or mark the table out of service.
  5. To make a booking ahead of time, click a table, fill in the guest's name, phone, and time, and confirm. The table then shows as reserved for that time window.
  6. As a manager, open Tables → Configuration to set table-naming rules, and Reservations → Configuration to set how short or long a booking slot can be, plus how many minutes before or after a booking's time it gets flagged "Starting Soon" or "Not Arrived".

Key things to know

  • Anyone can start a new order or mark a table out of service — no special permission needed. Seeing the day's bookings, and creating, editing, cancelling, or checking guests in and out, requires reservation permissions that a manager assigns.
  • Only managers can edit the floor plan layout — adding, moving, resizing, or deleting tables and rooms, or marking an entire room out of service, is restricted to staff with floor-plan management rights.
  • The calendar shows closed days (based on your opening hours) as disabled and struck through — you can't pick those. Past dates can still be opened to review old bookings, but you can't create new ones there.
  • Each booking can show two quick statuses: a yellow "running late" flag (the guest called ahead) and a green "seated" flag (the table is occupied). Setting one clears the other. Both only apply to today's bookings — a booking for a future date can only be edited or cancelled, since there's no guest to be late or to seat yet.
  • A table you're waiting on a guest for gets arrival actions instead of the usual ones. Once a booking is running late or about to start ("Starting Soon"), tapping that table (or opening the booking) offers Mark as Arrived, Mark/Remove Running Late, and Not Arrived — in place of starting a new order, releasing, or seating a walk-in — until you resolve which of those the booking ends in. If the table already has an open, unpaid order on it, you can still open that order as usual.
  • Marking a guest as arrived seats them immediately. Tap Mark as Arrived and the table shows as seated right away. If they showed up a few minutes early, their visit is timed from the moment you mark them, not the original booking time, so reports reflect when they actually sat down.
  • If a table gets a new order without a formal booking (a walk-in), the system quietly marks it as seated in the background so your reports still capture how long the table was in use.
  • On the Timeline, tap an empty stretch of a table's row to start a booking there — the table and start time are already filled in, so you just add the guest's details and confirm.
  • A deposit is a single amount, not a separate switch. If the guest has paid something in advance, enter the amount when creating or editing the booking; leave it blank (or zero) if there's no deposit.
  • The time slots you can pick from are limited to your restaurant's opening hours, and to any minimum/maximum booking length your manager has configured. A "until closing" shortcut is available for the end time. Once you pick a start time for the time filter, the end time fills in automatically with a sensible default — you can still adjust it.
  • If two bookings would overlap on the same table, the system won't let you save the second one.
  • Table names can be required to be unique just within a room, or across the whole restaurant — a manager sets this in Configuration.
  • Marking a guest as "Not Arrived" frees the table right away, and it can't be undone. The booking disappears from the map and the timeline immediately and the table becomes available for that time slot again — it stays visible in the reservations list, though, so you can still see it happened. Because there's no way to reverse this afterwards, you're asked to confirm first — make sure before you tap confirm.
  • A cancelled, completed, or "Not Arrived" booking no longer holds the table. Once a booking reaches one of those states, the table is treated as free for that window everywhere — on the map, in the "free for" countdown, and when picking a time for a new booking.
  • You can filter which booking statuses appear on the map, timeline, and list. Use the filter icon at the top of the page to hide statuses you don't need to see right now, and switch them back on any time. A "Not Arrived" booking isn't part of that filter — it's simply never shown on the map or timeline, and it always stays visible in the reservations list, which is where you go to review it.
  • A table's booking count matches what's listed for it — except it leaves out "Not Arrived" bookings. Since that guest never came, the table is genuinely free again, so counting an abandoned booking would make it look reserved when it isn't. The booking is still in the list itself, just not in the number badge.
  • A table about to be occupied shows "Soon" on the map instead of a "free for" countdown. As soon as a table enters its "Starting Soon" window, the label swaps from counting down free time to a short "Soon" tag — a countdown reads as "still available", and this table isn't.
  • A manager can adjust the "Starting Soon" and "Not Arrived" timing. In Reservations Configuration, you can change how many minutes before a booking's start time it's flagged "Starting Soon", and how many minutes after the start time an unseated booking is flagged "Not Arrived" — both default to 15 minutes.
  • On the Timeline view, tables are listed in a natural order (T1, T2 … T9, T10), so scanning down the list is straightforward even with more than nine tables.
  • Tapping a booking whose guest has already been seated opens the table's action menu (start an order, release the table, mark it out of service) instead of the read-only booking details — that's usually what you want to do next once the guest is at the table. Every other booking still opens the booking details.
  • A table can't be released while it still has an open, unpaid order. If the seated guest's order hasn't been settled yet, the booking's details show a View Order button instead of the release option — settle the bill first, then release the table.
  • On the Timeline view, use the / + icons to zoom in or out, and the arrow next to the table names to collapse that column and make more room for the schedule.
  • Tap the guest's phone number in a booking's details to call them — it opens your device's dialler with the number already filled in.

FAQ

Q: What's the difference between the floor plan editor and the reservations view?
A: The editor is where you design the room — add, size, and arrange tables and rooms. The reservations view is the day-to-day screen where staff see bookings and manage tables; it doesn't let you change the layout.

Q: Can I seat a walk-in guest without creating a formal reservation?
A: Yes. Click the table and start a new order as normal — the system records that the table became occupied so your reports stay accurate, even without a named booking.

Q: What do the yellow and green markers on a booking mean?
A: Yellow means the guest called to say they're running late. Green means the guest has arrived and the table is currently occupied. Only one of the two can be shown at a time.

Q: Can I book a table for a date in the past?
A: No. You can still open a past date to look up what happened that day, but the booking form is hidden — you can only create new reservations for today or a future date.

Q: Why are some days on the calendar greyed out and unclickable?
A: Those are days your restaurant is closed, based on your configured opening hours. If opening hours haven't been set up yet, every day is selectable.

Q: Is there a minimum or maximum length for a booking?
A: Yes, a manager can set both in Reservations Configuration. The available time slots you can pick from automatically respect those limits, and the maximum can be turned off entirely if you don't need it.

Q: Who can change the floor plan — add or move tables, or rearrange rooms?
A: Only staff with floor-plan management rights, usually managers. Everyone else can view and use the floor plan but can't rearrange it.

Q: What happened to "No Show"?
A: It's now called "Not Arrived" everywhere — the button, the legend, the badges, and the reports. It's the same status as before, just clearer wording.

Q: What happens when I mark a guest as "Not Arrived"?
A: The table frees up immediately for that time slot, and the booking disappears from the map and the timeline. It stays visible in the reservations list, so you can still find it there. You'll be asked to confirm first, because this can't be undone afterwards — if the guest turns up after all, start a new order or make a fresh booking for them.

Q: Can I choose which booking statuses show up on the map, timeline, and list?
A: Yes, for most statuses — use the filter icon at the top of the page to turn any of them on or off. "Not Arrived" bookings are the one exception: they're never shown on the map or timeline, and they always stay in the reservations list, so that's where you go to review them.

Q: Can I change how soon a booking is flagged "Starting Soon", or how long before it's marked "Not Arrived"?
A: Yes, a manager can set both in Reservations Configuration. Each is a number of minutes measured from the booking's start time, and both default to 15 minutes.

Q: Does a cancelled reservation still block the table?
A: No. Once a booking is cancelled, completed, or marked "Not Arrived", the table shows as free for that time everywhere in the app.

Q: Why did tapping a booked table open the "new order" menu instead of showing me the reservation?
A: That happens only once the guest has been seated — at that point the table's action menu (new order, release, out of service) is usually more useful than the read-only booking details. Any booking that isn't seated yet still opens the booking details as before.

Q: What can I do with a table whose guest is running late or about to arrive?
A: Tap the table (or open the booking) and you'll see Mark as Arrived, Mark/Remove Running Late, and Not Arrived. Mark as Arrived seats the guest right away; Mark Running Late just flags it so the front desk knows to wait; Not Arrived frees the table for someone else. If the table already has an open order, you can still get to it from there.

Q: What does "Soon" mean on a table on the map?
A: It means a guest is due at that table within the next few minutes — a booking has entered its "Starting Soon" window. It replaces the usual "free for X minutes" countdown, since the table isn't really available even though nobody's sitting there yet.

Q: If I mark a guest as arrived a few minutes before their booked time, does that change anything about the booking?
A: Only when their visit is timed from. The visit starts from the moment you mark them as arrived rather than the original booking time, so the reports reflect when they actually sat down. The end time you booked stays the same.

Q: Does the number on a table include guests who never showed up?
A: No. A booking marked "Not Arrived" is left out of that count, since the table is genuinely free again — it's still listed in the reservations list itself, just not counted on the table.

Q: I can't release a table — why?
A: The table still has an open, unpaid order. Settle the bill first — there's a View Order shortcut right on the booking's details — and then you'll be able to release the table.

Q: How do I zoom in or out on the Timeline view?
A: Use the / + icons next to the view switcher at the top. You can also collapse the table-name column with the arrow next to it to fit more of the schedule on screen.

Q: Can I call a guest directly from their booking?
A: Yes. Open the booking's details and tap the phone number — it launches your device's dialler with the number ready to call.

Q: Can I start a new booking by tapping directly on the Timeline?
A: Yes. Tap any empty stretch of a table's row and the booking form opens with that table and a starting time already filled in — pick roughly where along the row the booking should begin.

Q: How do I record a deposit on a booking?
A: Enter the amount in the booking's Prepayment field when creating or editing it. Leave it blank, or at zero, if the guest hasn't paid anything in advance.

Q: Why can't I mark a booking for next week as "running late" or "seated"?
A: Those two statuses only make sense on the day of the booking. For any other date, you can still edit the details or cancel the booking, but the late/seated markers are hidden until it's actually that day.
