Orders
What it does
Orders is where staff take new orders, watch active orders in progress, and look up past orders. It covers the register screen where items are added and payment is collected, the active-orders view for tracking what's still being prepared or served, and the order history for receipts, refunds, and returns.
Getting started
- Open the New Order screen. If order types are turned on for your venue, pick one (dine-in, takeaway, delivery, etc.) at the top.
- Tap items from the menu to add them to the current receipt. If an item has sizes or options, you'll be asked to pick one first.
- Adjust quantity with the plus/minus buttons, add a note to an item, or mark it to be postponed if the kitchen shouldn't start it yet.
- Use Add modifier if you need to add an extra charge or a flat/percentage adjustment to the whole receipt.
- Tap Client (in the ⋯ More menu) if you want to attach this order to a customer's profile. Search by name or phone, or add them on the spot if they're new. If they already hold a loyalty card, its discount is applied to the check the moment you pick them.
- Check the subtotal, tax, and total in the summary panel above the action buttons.
- Tap Apply order to send the order to the kitchen without collecting payment (if your venue allows this), or tap Pay to collect payment right away.
- In the payment window, pick a method — cash, card, or online — and confirm. In Poland, you can also enter the buyer's tax ID to turn the receipt into a simplified invoice, if the total is under the configured limit.
- After paying, you'll see a read-only summary of the order before starting the next one.
- Open Active Orders to see everything currently being prepared or served — expand an order to see its items and payments, add more items, mark items as delivered, or complete the order.
- Open Order History to look up past orders, reprint receipts, or process a refund or return.
Key things to know
- You can work on several receipts at once using tabs — each tab is its own order. Tabs can be renamed or closed at any time.
- If you try to leave the New Order screen with items still on a receipt, you'll be asked to confirm — you can stay or leave.
- If your screen locks (manually or after inactivity) while you have an unsent order, it's saved automatically and restored exactly as you left it once you unlock.
- Tax is shown either as an amount added on top or as already included in the price, depending on how your venue set it up. If tax is turned off for your venue, the tax line doesn't appear at all.
- Items only appear on the kitchen screen if the kitchen display is turned on and the item is assigned to a prep station. Otherwise items are marked ready immediately — there's nothing extra to do.
- An item marked "postpone" waits until someone resumes it from Active Orders; it won't reach the kitchen until then.
- In Active Orders, each group of orders is headed by a small icon followed by the table name or the pager number — a table icon for a dine-in table, a pager icon for a paging device. Hover over the icon if you want to confirm which one it is.
- Some actions are manager-only: processing refunds, closing an order that has rejected items, and handling returns.
- Order types (dine-in, takeaway, delivery, online, corporate) are optional — a manager turns them on and sets a default in the Orders settings.
- Choosing Delivery hides the table selector. A delivery goes to an address, not a table, so once Delivery is picked the table field disappears and the Client button for picking the delivery address takes its place.
- Picking a table that's expecting a guest asks you to confirm first. If the table you choose has a booking that's running late or about to start, a prompt names the guest and the booked time and reminds you that continuing seats them and starts their reservation. Confirm to seat the guest and carry on with the order, or cancel to pick a different table — either way, if you back out, the table selector goes back to empty. This only appears if Tables & Reservations is turned on and you have booking permissions.
- Adding items to an order that's already been sent to the kitchen is allowed as long as the order isn't completed or cancelled — the previously sent items stay locked and only the new ones can be edited before sending.
- If a dish on the receipt can't be made from the stock you have, a warning appears naming what's short. It's advice, not a block — you can always take the order, because the shelf sometimes has what the system doesn't know about. The check looks at the whole receipt rather than one line at a time, so two dishes that both use the same ingredient are caught even when each would be fine on its own, and it runs once more just before the order is sent, in case another till took the last portion meanwhile. This only appears when the item has a recipe — see Recipes.
- A small warning icon stays next to a short item's name on the receipt itself, not just in the pop-up warning, so it's visible for as long as the order can still be changed. A size of an item is checked on its own — one size can be out of stock while another isn't — and an item already sent to the kitchen no longer shows it, since it can't be changed from here anyway.
- Refunds don't reverse a printed fiscal receipt on the till itself — by law, they're recorded in a returns register and the money is refunded to the customer, with an optional printed return slip for them to sign.
- If a receipt already contains every item that makes up a combo/set item, you'll be offered a one-tap prompt to combine them into the combo and save the difference — accept it or dismiss it and keep the items separate.
- Adding a combo/set item that has a part with a required choice (e.g. a side that needs a sauce picked) still prompts you for that choice, one option at a time, just as it would if you added that item on its own.
- On a delivery order, the payment window also offers "Cash on delivery" and "Card on delivery" — pick one when the courier collects the money at the door instead of the cashier. Choosing it does not mark the order as paid: the order stays open, carrying the tender you picked, until someone closes it for real once the round comes back with the money.
- Active Orders and Order History can be filtered by payment method and by order type. Use the filter controls above the list to narrow it down to one or more tenders or order types; each row also shows a small badge for its order type and, once one is recorded, its payment method, so you can tell at a glance without opening it.
- Many of these behaviours are switched on and tuned by a manager in Configuration: the order type selector and its default, multiple checks per order, split receipts, requiring payment before an order is accepted, allowing overpayment, which payment methods cashiers may use, and optional fields like a table, a pager number, and a ready-by timer. - A discount card or coupon applied to an order keeps showing — as its own line and in the total — everywhere that order appears afterward: the register screen, Active Orders, and Order History. See Discounts.
- If a discount or coupon brings a check's total all the way to zero, the payment window still lets you close it — it offers exactly one payment method to confirm with, and nothing is charged.
- Attaching a customer is optional for most order types, but required for delivery. With Delivery chosen, a Client button appears next to the order type — it's highlighted until you've picked both a customer and one of their delivery addresses, and you can't submit or take payment until then.
- Picking a customer's loyalty card discount happens automatically. As soon as you select who the order is for, any active loyalty card on their profile is applied to the check right away — you don't need to look the card up separately in the payment window. If you swap to a different customer, the previous one's card discount comes off with them; a discount you applied by hand stays.
- You can register a brand-new customer without leaving the order. If the person searching up empty-handed is a new guest, add them right from the Client search box with just a name and a phone number or email — the full profile (addresses, tags, notes) can be filled in later from Clients.
- A delivery address can be added on the spot, too. If the customer you picked has no address on file yet, or needs a new one, add it directly from the Client window — street and house/building number are required; flat number, city, postal code, and entry details (entrance, floor, buzzer code) are all optional.
- Swapping which customer an order belongs to, or changing the delivery address, works the same way on an order you're still editing as it does on a brand-new one.
FAQ
Q: What's the difference between "Apply order" and "Pay"?
A: "Apply order" sends the order to the kitchen without taking payment — useful when the customer will pay later. "Pay" collects payment immediately. Some venues require payment up front, in which case "Apply order" won't be available.
Q: I locked my screen in the middle of building an order — did I lose it?
A: No. Your order draft, including all items, notes, and quantities, is saved automatically when you lock the screen and restored exactly as you left it after you log back in.
Q: Can I add more items to an order after it's already been sent?
A: Yes, as long as the order isn't finished or cancelled. Open it from Active Orders and use "Add items" — the items already sent stay locked, and you add the new ones on top.
Q: What happens if the kitchen rejects an item?
A: The item is marked rejected and taken off the order total. If the order was already paid, a manager can process a refund for that item; if it wasn't paid yet, the amount simply drops off the bill. If your venue tracks inventory, the ingredients it used are put back on the shelf automatically, since the dish was never served.
Q: Why don't I see a "Pay" button on some orders in Active Orders?
A: The Pay button is hidden while an order has a rejected item that hasn't been resolved yet — resolve or refund it first.
Q: Can I split a bill between two payment methods?
A: Yes, the payment window supports splitting a single order across multiple payments until the full total is covered.
Q: How do I give a customer a refund?
A: Managers can process a refund from Order History or Active Orders. For fiscal compliance, the original receipt itself isn't voided — the return is logged and, if needed, a printed return slip is offered for the customer to sign.
Q: Why does the total on a printed receipt sometimes look different from the total shown on screen?
A: If tax is included in your prices, the on-screen total and the receipt total already have tax built in; if tax is added on top, both will show it as a separate line. Either way, the totals reconcile once you check the tax breakdown in the summary.
Q: I added items one by one and got a pop-up suggesting a combo — what is that?
A: The till noticed the receipt already has everything needed for a combo/set item and offered to swap those separate lines for the combo at its price. Tap Combine to accept, or dismiss it to keep the items on the receipt separately.
Q: I added a combo and got asked to choose an option, like a sauce, for one of its items — is that normal?
A: Yes — if any part of a combo has a required choice, you're prompted for it right when the combo is added, one option at a time, exactly as you would be if you'd added that item on its own.
Q: What does the small icon next to a table or pager number mean in Active Orders?
A: It's just a quick visual cue instead of the word — a table icon means the order belongs to a dine-in table, and a pager icon means it's linked to a paging device. Hover over it to see which one it is.
Q: I picked a table for a dine-in order and got asked to confirm a reservation — what's going on?
A: That table has a guest who's running late or about to arrive. Confirming seats that guest — their booking is marked as arrived — and you carry on building the order for them. If you cancel instead, nothing changes on the booking and you'll need to pick a different table.
Q: Why does a check in Active Orders show a lower total than the sum of its items?
A: A discount card or coupon applied earlier is still working — the total already reflects it, along with a line showing how much it took off. See Discounts.
Q: A discount brought a check's total to zero — how do I close it?
A: The payment window still lets you finish it. It offers exactly one payment method to pick (usually Cash) — tap it and confirm; nothing is charged, and the order is marked paid and closed.
Q: How do I attach a customer to an order?
A: Tap Client in the ⋯ More menu on the New Order screen. Search for them by name or phone, or add them on the spot if they're new — just a name plus a phone number or email is enough. Tap Save once you've picked them.
Q: Why won't a delivery order let me submit or take payment?
A: Delivery is the one order type where a customer and a delivery address are required — there has to be somewhere to send it. Tap the Client button next to the order type, pick or add the customer, then pick or add their address. Both buttons stay highlighted until this is done.
Q: I picked a customer who has a loyalty card — do I need to apply the discount separately?
A: No. As soon as you attach a customer who holds an active loyalty card, its discount is applied to the check automatically. You'll see it on the receipt right away, the same as if you'd applied it by hand.
Q: I attached the wrong customer to an order — can I fix it?
A: Yes. Open Client again, remove the current customer with the ×, and search for or add the right one. If their loyalty card was the one discounting the check, that discount is removed with them; any discount you applied yourself stays.
Q: Can I add a new delivery address while taking the order?
A: Yes. Open the customer's Client window and use Add address — street and house number are required, and flat number, city, postal code, and entry details (entrance, floor, door code) are optional if they apply.
Q: What are "Cash on delivery" and "Card on delivery"?
A: They're payment options for delivery orders where the courier collects the money at the door instead of the cashier. Picking one records how the order will be settled and sends it on its way — it doesn't mark the order as paid. The order stays open in Active Orders until someone closes it for real once the round comes back and the money (or card payment) is actually in hand.
Q: Can I filter the order list by payment method or order type?
A: Yes. Both Active Orders and Order History have a payment-method filter and an order-type filter above the list — tick one or more of either to narrow things down, or leave them on "All" to see everything. Each row also carries a small badge showing its type and, once recorded, its payment method.
