Invoices without an order

What it does

Invoice goods or services that never went through the register — a catering job, a wholesale sale of stock, a service. You choose what is sold and at what price; POSolid works out the VAT from your venue's own tax rates and, for goods, takes them out of stock when the invoice is issued.

Getting started

  1. Open Invoice Manager → New invoice and tap Invoice without an order.
  2. Fill in the buyer, as on any invoice — see Issuing invoices.
  3. Add the items:
    • Add menu item — a dish or drink from your menu. Its ingredients are taken out of stock through its recipe.
    • Add stock product — a product sold straight from stock (oldest stock first).
    • Add service — work or a fee that doesn't touch stock. You can also type any other line.
  4. For each item set the quantity, the unit, the unit price and the VAT rate. Prices include VAT decides whether you type gross or net prices; the totals per rate update as you type.
  5. Set the sale date if it isn't today (it can't be in the future).
  6. Tap Issue invoice.

To invoice a catering job you planned in Inventory, tap Fill from a supply plan: the plan's dishes become the items, at menu prices. Dishes no longer on the menu are left out and listed.

Key things to know

  • VAT comes from your taxes. The rates are your venue's own taxes as set up in the catalog — never a number typed on the invoice. If a rate can't be confirmed, the invoice isn't issued.
  • Goods leave stock when the invoice is issued. The invoice page shows whether it worked: Goods taken out of stock, or why it couldn't (for example a menu item with no recipe) — then correct the stock by hand in Inventory. Short stock doesn't stop the invoice: what there is is taken and the shortfall is recorded.
  • A supply plan is invoiced once. Issuing from a plan marks it invoiced; a second invoice of the same plan is refused.
  • In Poland, Test and Demo invoices don't touch stock. An invoice issued into a KSeF test environment takes nothing out of stock and leaves the supply plan open for the real invoice. The screen says so while you're on Test or Demo.
  • A correction doesn't put goods back. If goods come back after a correction, adjust the stock by hand in Inventory.
  • Stock products and supply plans need the Inventory module. Menu items, services and typed lines don't.
  • You need the Issue invoices permission.

FAQ

Q: Can I invoice a dish that has no recipe?
A: Yes, but its ingredients can't be taken out of stock — the invoice says so. Add a recipe, or invoice it as a service if no stock is involved.

Q: Can I change the prices from the supply plan?
A: Yes. The plan fills in menu prices; you can change any line before issuing.

Q: The invoice is issued but says the goods couldn't be taken out of stock. Is the invoice valid?
A: Yes. The invoice is issued as usual (in Poland also sent to KSeF); only the stock needs adjusting by hand.
