Invoicing setup

What it does

Invoice Manager → Configuration prepares a venue for invoicing: the organization details printed on every invoice and the number series invoices and corrections are numbered from. A checklist at the top shows what is still missing, with a link to each place to fix it.

Getting started

  1. Organization details. In the organization settings, fill in the company name, the address and the organization's tax ID (VAT number). They are printed on every invoice, and none can be issued without them. In Poland the tax ID must be a valid NIP and the currency PLN.
  2. Number series. In Invoice Manager → Configuration, set up one series for Invoices and one for Corrections, for example FV/{seq}/{mm}/{yyyy}. Use {seq} for the running number ({seq:4} pads it to four digits), {yyyy} or {yy} for the year and {mm} for the month.
  3. Choose when the series starts again from 1 — never, every year or every month.
  4. If you're moving from another program, set Next number to carry on its numbering.
  5. In Poland, also connect KSeF — see KSeF connection setup.

Key things to know

  • A number series can't repeat a number. A series that starts again every year must contain the year, and one that starts every month the year and the month. A new series that would reach a number already used is refused, and tells you where to start instead.
  • Replacing a series takes effect from the next invoice; numbers already issued don't change.
  • In Poland each KSeF environment has its own series (Test numbers never clash with Production ones). Elsewhere there is one set of series.
  • Only people with the Manage invoices permission can open Configuration.

FAQ

Q: Can I continue the numbering from my previous program?
A: Yes. When you set up the series, enter the next number your previous program would have used. POSolid won't let a series start on a number that has already been used.

Q: Can I change the numbering format later?
A: Yes — set up the series again. The new one takes over for the next invoice, and it must not reach a number already used.

Q: Which tax ID is printed?
A: The one in your organization settings, exactly as entered.
