Invoice corrections

What it does

An issued invoice is never edited. When something changes — goods returned, a line billed twice, the whole sale cancelled — you issue a correction that refers to the original invoice. POSolid works out the difference from the original's own lines, so the VAT always matches what was invoiced.

Getting started

  1. Open the invoice and tap Correct.
  2. Either tick Reverse the whole invoice, or set the quantity each line should have now — each line shows what the buyer was last invoiced. Lines you don't change stay as they are.
  3. Enter the reason. It's printed on the correction.
  4. Tap Issue correction. The correction gets a number from the corrections series; in Poland it is sent to KSeF like any invoice.

Key things to know

  • In Poland, the original must be in KSeF first. The correction names the original's KSeF number, so it can be issued only once the original's status is In KSeF. Elsewhere an invoice can be corrected straight away.
  • Corrections build on each other. To change something again, correct the original invoice again — the new correction starts from what was last invoiced, after every earlier correction. A correction itself can't be corrected.
  • Quantities can go down or up. A line can be taken to zero; a line already at zero can't be corrected again.
  • The correction keeps the original's buyer, seller and sale date. To change the buyer, reverse the invoice in full and issue a new one.
  • A refunded order needs a correction. When an order is refunded at the till after its invoice was issued, the invoice is flagged Refunded — needs a correction until you issue it.
  • A fully reversed order can't be invoiced again from New invoice — it still counts as invoiced. To re-invoice it (for example to the right buyer), issue an invoice without an order (see Invoices without an order) with the same items as service lines, so no stock is taken twice. Ask your accountant if you're unsure.
  • Stock isn't put back. A correction of an invoice without an order doesn't return goods to stock; adjust the stock by hand in Inventory.
  • A correction needs a Corrections number series and the Manage invoices permission.

FAQ

Q: The customer gave the wrong NIP. Can I edit the invoice?
A: No. Issue a correction that reverses it in full, then issue a new invoice to the right buyer — as an invoice without an order, since the order still counts as invoiced.

Q: Why isn't there a Correct button?
A: In Poland the original isn't in KSeF yet (wait until it shows In KSeF), or you're looking at a correction rather than the invoice, every line is already at zero, or you don't have the Manage invoices permission.

Q: Can I correct only the price?
A: Not yet — corrections change quantities. To change a price, reverse the line or the invoice and issue a new one.
